Gearbox Gurus Ltd – Terms Of Service & Warranty Policy
1. Payment, Ownership & Vehicle Release
• Payment is due immediately upon completion of work unless otherwise agreed in writing.
• Vehicles will not be released until full payment has cleared.
• Ownership of all parts supplied remains with Gearbox Gurus Ltd until payment is received
in full.
• Gearbox Gurus Ltd holds a legal lien over the vehicle and its contents until all outstanding
balances are sealed.
• Late payments may incur interest at 5% above the Bank of England base rate.
2. Estimates, Pricing & Authorisation
• Esimates are approximate and may change if additional issues arise during repair.
• Additional work will be chargeable once authorised verbally, by SMS or by email.
• OEM and special-order parts (e.g. mechatronic units, ECUs, torque converters) are non-
returnable and must be paid for upfront.
• Supplier price increases will be reflected in the final invoice.
• Strip-down or diagnostic work may reveal unrelated issues that require further cost.
3. Customer Contract & Instructions
• Leaving a vehicle with us constitutes full acceptance of these Terms & Conditions.
• Any amendments must be agreed in writing.
• The customer authorises Gearbox Gurus Ltd to road test, move and operate the vehicle as
required for diagnosis and repair.
4. Customer Responsibility (Keys, Information, Authorisation)
• Customers must provide accurate and honest information regarding vehicle symptoms and
history.
• Customers must supply all keys, key cards and access codes required for diagnostics and
security functions.
• Gearbox Gurus Ltd is not liable for delays caused by missing keys, security information or
incorrect/incomplete information supplied by the customer.
5. Diagnostic & Strip-Down Charges
• All diagnostic fees are non-refundable.
• Strip-down charges apply regardless of whether the customer proceeds with repairs.
• Intermittent faults that do not present during testing cannot be guaranteed.
• Some faults may require extended road testing over multiple days, which is chargeable as
part of diagnosis/verification.
6. Mechanical & Hydraulic Repair Warranty (12 Months / 12,000
Miles)
This warranty covers mechanical and hydraulic components fitted by Gearbox Gurus Ltd, including:
• Internal gearbox components
• Clutches, seals, drums and bearings
• Hydraulic valve components
• Torque converter rebuilds
• Labour relating only to the items we have replaced
Warranty does not cover:
• ECU/TCU/mechatronic electronics (PCBs, chips, circuits)
• Wiring, sensors, modules or external electronics
• Customer-supplied parts
• Vehicles that are tuned, remapped or otherwise modified from factory specification
• Failures caused by overheating, fluid contamination, fluid starvation or leaks
• General wear-and-tear or failures unrelated to the original repair
Warranty is void if:
• Any third party works on, adjusts or interferes with the repaired area without written
permission from Gearbox Gurus Ltd.
7. ECU / TCU Exclusion
• Gearbox Gurus Ltd does not warranty or repair internal mechatronic/ECU circuits, PCBs or
chips.
• Any ECU/TCU failures occurring before, during or after mechanical work are excluded from
warranty unless explicitly stated otherwise in wri1ng.
8. Surrounding Component Disclaimer
• Nearby or aged components may fail due to vehicle age, mileage or pre-existing weakness;
these components are not covered by our warranty.
• Major repairs can expose or accelerate failures in existing weak components.
• Warranty applies only to the specific components replaced by Gearbox Gurus Ltd and not
to the wider system or vehicle as a whole.
9. Previous Work / Third-Party Interference
• Gearbox Gurus Ltd accepts no liability for faults caused by previous garages, repairers,
tuners or modifications.
• Warranty work may be refused, or limited, if previous workmanship, modifications or third-
party interference affects system integrity or diagnosis.
10. Road Testing, Mileage Increases & Fuel Usage
• Road testing is essential for accurate diagnosis and verification of repairs.
• Mileage will increase during testing, particularly for intermittent faults, gearbox or ECU-
related issues.
• Testing may include motorway driving, cold and hot cycles, stop/start cycles and extended
distances as required.
• Any mileage added during testing remains the customer’s responsibility.
• Fuel used during road testing is not reimbursable.
11. Speeding, Parking, Toll & Traffic Offences
• Gearbox Gurus Ltd is not responsible for fines incurred by third-party transporters, recovery
drivers or the customer.
• Fines arising during road tests are only payable by Gearbox Gurus Ltd if caused by proven
negligence.
• All testing is carried out responsibly and in line with road traffic laws.
12. ULEZ, Congestion Charge & Emission Zones
• Some Gearbox Gurus Ltd sites and routes may fall within ULEZ, LEZ, CAZ and Congestion
Charge zones.
• Customers must inform us in writing if their vehicle is non-compliant with any applicable
zone.
• Failure to disclose non-compliance means all resulting charges and penalties are the
customer’s responsibility.
• This applies to all vehicle movements, including drop-off, collection, recovery and transfers
between workshops.
13. Vehicle Storage Fees
• Vehicles not collected within 24 hours of completion may incur a storage charge of £25 +
VAT per day.
• Delays caused by warranty companies, finance companies or third parties remain the
customer’s responsibility.
• Storage charges may apply after 48 hours of non-communication from the customer.
14. Warranty Assessment, Re-Inspection Fees & Transport Policy
14.1 – Free Warranty Inspection (If Related To Our Work) If the issue is confirmed to be directly related to work carried out by Gearbox Gurus Ltd, the
inspection is free.
This includes:
• Workmanship checks
• Leak checks
• Basic fault code scan
• Adaptation/parameter verification where applicable
• Test drive to confirm the concern
14.2 – £250 + VAT Re-Inspection Fee (If Not Related)
If the issue is not related to our previous work, a flat £250 + VAT fee applies.
This fee covers only:
• Reviewing our previous work
• Visual and leak checks
• Basic fault code scan
• Adaptation status check
• Short verification drive
14.3 – New/Unrelated Faults
• Diagnosis of new or unrelated faults is not included in the re-inspection fee and is
chargeable at our standard diagnostic rate.
14.4 – Transport & Recovery Fees (Distance-Based + VAT)
• Transport, recovery or collection services are chargeable based on distance plus VAT.
• Recovery fees apply where the vehicle is non-drivable or unsafe to drive.
Transport Responsibility Rule:
• If a validated warranty-related issue occurs within 1 month of the original repair date,
Gearbox Gurus Ltd will cover reasonable transport/recovery costs.
• After 1 month, the customer is responsible for all transport/recovery costs, even if the
issue is covered under warranty.
14.5 – Declining The Re-Inspection Fee
• If the customer refuses the re-inspection fee where applicable, no inspection or diagnostic
work will be carried out.
14.6 – Purpose Of This Policy
• This policy is designed to prevent misuse of warranty inspections as free diagnostics for
new or unrelated faults.
15. Pre-Existing Damage & Condition Recording
• Vehicles may be photographed on arrival to document existing damage and condition.
• Gearbox Gurus Ltd accepts no liability for seized, brittle, corroded or pre-damaged
components that may fail during normal repair procedures.
16. Unsafe Vehicles – Right To Refuse Work
• Work may be refused if a vehicle is deemed unsafe, heavily modified, structurally
compromised or poses a risk to staff, other road users or equipment.
17. Reconditioned Parts & Core Returns
• Some components (e.g. torque converters, certain gearbox units) may require the return of
a serviceable core unit.
• Surcharges or additional fees may apply for damaged, incomplete or non-serviceable cores.
18. Adaptation & Relearning
• Many modern vehicles require adaptation, coding or relearning procedures after major
repairs.
• Temporary drivability variations (e.g. shift quality, idle behaviour) can be normal during the
relearning period.
19. Third-Party Transport & Recovery
• Gearbox Gurus Ltd is not responsible for any damage caused by third-party transport or
recovery companies not directly contracted by us.
• Any issues arising from third-party recovery should be addressed with the recovery
provider.
20. Consequential Loss Exclusion
Gearbox Gurus Ltd is not liable for any consequential loss, including but not limited to:
• Loss of income or earnings
• Hire car or alternative transport costs
• Travel or accommodation costs
• Recovery or storage fees from third parties
• Delays caused by suppliers, warranty companies or parts availability
• Any inconvenience, time loss or incidental expenses
21. Insolvency & Non-Communication
• If the customer becomes uncontactable, refuses reasonable communication or is declared
insolvent, all costs become due immediately.
• Work may be halted and the vehicle may not be released until outstanding balances are
settled in full.
22. Acceptance Of Terms
By leaving a vehicle with Gearbox Gurus Ltd and/or paying any invoice, the customer confirms that
they have read, understood and agreed to these Terms & Conditions in full.
These terms do not affect your statutory consumer rights under UK law
